Hello students, welcome to Kwickprep. Have you ever saved a project and then could not find it the next day? Today we will learn what files and folders are, and how to create, rename, copy, move and delete them.
Let us start with a file. A file is a collection of data saved with a name, like a photo, a song, or a document. A file name has two parts, the name and the extension, joined by a dot. The extension is the short part after the dot, and it tells the file type.
Here are common extensions you will see. A .docx file is a document that opens in Word. A .xlsx file is a spreadsheet for Excel. A .pptx file is a presentation for PowerPoint. JPG and PNG files are pictures. MP3 is an audio file, and MP4 is usually a video file.
Now a folder. A folder is a container that holds files and other folders, just like a file cover holds papers. A folder inside another folder is called a subfolder. Think of a school bag with separate pockets for books, notebooks and a lunch box.
A good folder structure goes from general to specific, like a tree. At the top is a drive, such as the D drive. Inside it is a folder called School. Inside School is a folder called Class 10. Inside that is a Science folder. And finally, inside Science, sits the file project dot docx.
The full address of a file is called its path. It shows exactly where the file lives. On screen you see the path of our project file, starting from the D drive. In Windows, each folder name in the path is separated by a backslash.
Now let us learn basic tasks in Windows File Explorer. To make a new folder, right-click in empty space and choose New, then Folder, or press Ctrl+Shift+N. To rename, right-click the item and choose Rename, or press F2. To open a file or folder, double-click it, or select it and press Enter.
Next, copy, move and delete. Copy uses Ctrl+C, then Ctrl+V to paste, and you end up with two copies. Move uses Ctrl+X to cut, then Ctrl+V to paste, so the item leaves its old place. Pressing the Delete key sends the item to the Recycle Bin. Ctrl+Z undoes your last step, if you make a mistake.
The Recycle Bin is a safety net for deleted items. Files you delete wait here, and are not gone yet. Right-click a file and choose Restore to bring it back to its old place. Emptying the Recycle Bin removes those files for good. Be careful, since Shift+Delete skips the Recycle Bin completely.
Good habits save a lot of time. Use clear names, like Science underscore Project, instead of new file one. Keep related files together in one folder. Windows does not allow some symbols in names, like slash, colon, star and question mark. And keep a backup copy of important files on a pen drive or the cloud.
Pause and think. You cut a file from the Desktop, and paste it into your Science folder. How many copies of the file exist now? Only one, because cut and paste moves the file. If you had used copy, there would be two.
Let us revise what we learned today. A file stores data, and its extension shows the type. A folder holds files and subfolders. A path is the full address of a file. Copy makes two copies, while cut and paste moves the file. And deleted files first go to the Recycle Bin, where you can restore them.
