Hello students, welcome to Kwickprep. You merged a letter, but every copy says Dear, then the word Name, in angle marks. What went wrong? Today we learn merge fields, how to insert them, and how to check them before printing.

First, the meaning. A merge field is a placeholder that sits inside the main document. It is linked to one column of the data source, such as Name or City. During the merge, it is replaced by the real data of each record. On screen, Word shows it with double angle marks on both sides, called chevrons.

Here is how one field turns into different text. The Name field becomes Riya Shah in the first copy and Aman Verma in the second. The Class field becomes eleven A, then eleven B. The Fee field becomes twelve thousand in one copy and nine thousand five hundred in the other.

There are some steps before you can insert fields. Start the mail merge and choose Letters. Then use Select Recipients to attach the data source. Until a data source is attached, the Insert Merge Field button stays grey and does not work. Finally, click exactly where the detail should appear in the letter.

Now let us insert a field in Microsoft Word. Go to the Mailings tab. Click the small arrow on the Insert Merge Field button. A list of your column names appears, so pick one, such as Name. Word does not add spaces or commas, so type them yourself around the field.

Here are three lines of a fee letter with fields. The greeting line has the Name field followed by a comma, so Riya's copy says Dear Riya Shah. The second line says Class, then the Class field, which becomes Class eleven A. The third line gives the fee, so Riya's copy shows twelve thousand.

Word also gives ready made blocks that combine several fields. Address Block inserts the full name and address together, in the right order, for the top of a letter. Greeting Line inserts a salutation such as Dear Mr Shah, with a comma. If these blocks come out blank, use Match Fields. It tells Word which of your columns is the first name, the city, and so on.

Always check the fields before printing. Click Preview Results on the Mailings tab. The fields change into the real data of the first record. Use the next and previous arrows to see other records one by one. Find Recipient jumps straight to one person, which helps in a long list.

Here are four common mistakes. Typing the angle marks and the word Name by hand does not make a real field. It prints as plain text, and that is why the letter said Dear Name. Forgetting a space between two fields joins them, like Riya and Shah stuck together. Picking the wrong field shows the wrong detail, so delete it and insert the right one. A blank cell in the data source leaves an empty gap, so fill the data source.

Time to pause and predict. The letter line is Dear, then the First field, then the Last field, with no space between them. The record says the first name is Neha and the last name is Khan. What prints? It prints Dear NehaKhan, as one joined word, so always type a space between two fields.

Two more tools help you check your work. Highlight Merge Fields shades every field in grey, so you can spot typed text that only looks like a field. Pressing Alt+F9 shows the hidden field codes behind every field. Press Alt+F9 again to go back to the normal view. Check for Errors runs a test merge and reports problems before you print.
