Hello students, welcome to Kwickprep. Suppose a customer's name is spelt wrong fifty times in a long letter. Will you fix each one by hand? Today we will learn to edit text quickly, with cut, copy, paste, find and replace.
Let us begin with a definition. Editing means changing the content of your text. You can insert new words, delete wrong ones, move or copy text, and replace one word with another. Formatting is a different job, because it changes only how the text looks, like bold or font size.
Let us start with deleting. Backspace deletes the letter to the left of the cursor, so it fixes a typo you just made. Delete removes the letter to the right of the cursor, clearing text ahead of it. Ctrl+Backspace deletes a whole word to the left at once.
Next, two typing modes. In Insert mode, new text pushes the old text to the right, and nothing is lost. In Overtype mode, each new letter replaces the letter already there. Insert mode is the normal setting, and in Word you turn Overtype on in the Options settings.
Cut, copy and paste all use the clipboard. The clipboard is a temporary holding area in the computer's memory. Cut and Copy put your selected text on the clipboard. Paste takes it from the clipboard and puts it where the cursor is. In Microsoft Word, the Office clipboard can hold up to twenty four items.
Here are the three commands. Cut, with Ctrl+X, removes the selected text and keeps it on the clipboard, so you use it to move text. Copy, with Ctrl+C, keeps the original text and puts a copy on the clipboard. Paste, with Ctrl+V, puts the clipboard text at the cursor, and you can paste the same text many times.
Here is how to move a paragraph, drawn as a flowchart. First, select the paragraph by dragging over it with the mouse. Then cut it with Ctrl+X, and it disappears from its old place. Next, click where you want it to go. Finally, paste it with Ctrl+V, and it appears in the new place.
Time for a quick check. You select the word Delhi and press Ctrl+C. Then you click at the end of the line and press Ctrl+V twice. Pause and think, how many times does Delhi appear now? It appears three times, because copy keeps the original and each paste adds one more.
Everyone makes mistakes while editing, so learn these two. Undo, with Ctrl+Z, takes back your last action, and you can press it again to go further back. Redo, with Ctrl+Y, brings back an action you just undid.
Now the answer to our opening question. Find, with Ctrl+F, shows every place a word appears in the document. Replace, with Ctrl+H, opens a box where you type the word to find and the word to replace it with. Replace All changes every match in one click, so fifty wrong names are fixed at once.
Use Replace carefully. Say Find what is Sharma and Replace with is Verma. Tick Match case if small and capital letters must match exactly. Tick Find whole words only, so a longer word like Sharmaji is not changed by mistake. When unsure, click Find Next and Replace one by one before using Replace All.
Let us recap. Editing changes the content, while formatting changes the look. Cut is Ctrl+X, copy is Ctrl+C, and paste is Ctrl+V, all using the clipboard. Undo is Ctrl+Z and redo is Ctrl+Y. Find is Ctrl+F and replace is Ctrl+H, with Match case and whole words for safety.
