Hello students, welcome to Kwickprep. Your class teacher must add marks for forty students and find the average. By hand it takes an hour. With a spreadsheet, it takes a minute. Today we learn spreadsheet basics, formulas, functions, sorting and charts, and then presentations.

First, what is a spreadsheet? A spreadsheet is a program that stores data in a grid and does calculations for us. Rows run across and are numbered one, two, three. Columns run down and are named with letters A, B, C. Common spreadsheet programs are LibreOffice Calc, which is free, and Microsoft Excel.

Let us learn five key words. A cell is one box where a row and a column meet. Its cell address is the column letter followed by the row number, like C5. A range is a group of cells, written with a colon, like A1 to A10. A sheet is one page of the grid. A workbook is the whole file, which can hold many sheets.

Here is a small marks sheet. Column A holds names, and columns B and C hold Maths and Science marks. Riya has seventy eight and eighty five. Aman has sixty four and seventy two. Neha has ninety one and eighty eight.

Now we can calculate. A formula is an instruction for a calculation, and it always starts with an equals sign. Equals B2 plus C2 adds Riya's two marks and shows one hundred sixty three. The operators are plus to add, minus to subtract, star to multiply and slash to divide. When you copy the formula down, the addresses change row by row, so Aman's row adds B3 and C3.

A function is a ready-made formula with a name. SUM adds all numbers in a range, so SUM of B2 to B4 gives two hundred thirty three. AVERAGE finds the mean value. MAX gives the highest value and MIN gives the lowest. COUNT tells how many cells contain numbers.

Let us pause and predict. The Maths marks are seventy eight, sixty four and ninety one. What does MAX of B2 to B4 show? It shows ninety one, Neha's marks. And AVERAGE shows seventy seven point six seven, after rounding to two decimal places.

Spreadsheets also organise data. Sorting arranges rows in order, like names from A to Z, or marks from highest to lowest. Always select the whole table before sorting, or names and marks get mixed up. Filtering shows only the rows that match a rule and hides the rest. For example, a filter can show only students who scored more than seventy in Maths.

A chart turns numbers into a picture that is easy to understand. A column chart compares values, like marks of different students. A line chart shows change over time, like monthly sales. A pie chart shows parts of a whole, like how a family budget is divided.

Now let us move to presentations. Presentation software helps us make slides for a talk, a project or a meeting. Common examples are LibreOffice Impress and Microsoft PowerPoint. A presentation is a set of slides shown one after another. Each slide can hold text, pictures, tables and charts.

Here are the main tasks with slides. First, choose a layout, which decides where titles and content boxes sit. Next, apply a theme, a ready set of colours and fonts, so all slides match. You can add transitions, which are effects when one slide changes to the next. Finally, run the slide show, usually by pressing F5.

Good slides help the audience, not confuse them. Keep only one idea on each slide. Use short points, never long paragraphs. Choose large fonts with clear contrast between text and background. And where possible, show a chart or image instead of long text.

Let us revise. A spreadsheet stores data in rows, columns and cells, grouped into ranges. Every formula starts with an equals sign. Useful functions include SUM, AVERAGE, MAX, MIN and COUNT. You can sort, filter and chart your data. And in presentation software, you choose a layout, apply a theme, add transitions and run the slide show.
