Hello students, welcome to Kwickprep. How do you stop others from opening a salary sheet? And how do you find one name in a fifty page report? Today we will learn to protect documents and to find text inside them.

First, why lock a file at all? Offices store private data, like salaries, marks and phone numbers. Protection stops the wrong people from reading or changing it. Word gives three levels of protection. A password can stop opening, Restrict Editing can stop changes, and Mark as Final warns readers not to edit.

To lock the whole file, go to File, then Info. Click Protect Document, then Encrypt with Password. Type the password, and type it again to confirm. Save the file. Now nobody can open it without the password.

Passwords in Word are case sensitive, which means capital and small letters are different. So a password with a capital K is not the same as one with a small k. Microsoft cannot recover a forgotten password. Write it down safely and use a strong one, with letters, numbers and symbols.

There is a softer lock too. Sometimes others may read the file, but only you should change it. In the Save As box, click Tools, then General Options. There are two boxes: password to open and password to modify. With only a password to modify, others can open the file as read only.

Protect Document has more options. Always Open Read-Only asks readers to open without editing. Restrict Editing lets you allow only comments, or only filling in forms. Mark as Final makes the file read only and shows a message bar. Encrypt with Password is the strongest, because the file will not open without the password.

Pause and predict. You mark a result sheet as final and send it to a friend. Can your friend change the marks? Yes, because the friend can click Edit Anyway. For real safety, use a password or Restrict Editing with a password.

Now, finding. If you forget where you saved a file, open File, then Open, and check Recent. In File Explorer, type part of the name in the search box at the top right. Windows also searches the text inside documents in common folders, like Documents.

Let us start with finding words. To find a word inside a document, press Ctrl+F. The Navigation Pane opens on the left side. Type the word, and Word highlights every match in yellow. The pane lists each match, and you click one to jump there.

Find and Replace changes a word everywhere at once. Press Ctrl+H to open it. Type the old word in Find what, and the new word in Replace with. Replace changes one match at a time, so you can check each. Replace All changes every match in one go.

The search box has hidden power. Click More in the Find and Replace box for extra options. Match case finds Ram but not ram. Find whole words only finds cat but not category. Replace All without these options can change words you did not mean to change.

In a long document, you often need a page, not a word. Press Ctrl+G to open the Go To tab. Choose Page, type the page number and press Enter. You can also go to a section, a line, a table or a comment.

Let us revise. Encrypt with Password stops others opening a file, and passwords are case sensitive. A password to modify gives others a read only copy. Mark as Final is only a warning. Ctrl+F finds text, Ctrl+H finds and replaces, and Ctrl+G goes to a page. Practise on a copy of a file, never on the only copy.
