Hello students, welcome to Kwickprep. Have you ever typed a full page and lost it because you did not save? Today we will learn to create, save, open, close and organise Word documents properly.
Every job starts with a new document. Press Ctrl+N to open a blank document at once. Or go to File, then New, and choose Blank document. File, New also shows templates. A template is a ready design, like a resume or a letter, that you only fill in.
Save and Save As sound similar, but they are different. The first time you save, Word asks for a name and a place. After that, Save, or Ctrl+S, stores changes in the same file. Save As, or F12, makes a new copy with a new name, place or type. The old file stays unchanged.
A good file name helps you find the file later. Use a clear name, like Fee Receipt March 2026. A file name cannot use these characters: backslash, slash, colon, star, question mark, double quote, less than, greater than, and the bar. Word adds the extension on its own, so do not type it.
The format decides what kind of file you save. Doc x is the normal Word document format. P D F is for sharing, because it looks the same on every device and is hard to change. Dot x is a Word template. R T F and T X T are simple formats that almost any program can open. Choose the format in the Save as type list.
To work on a saved file, you open it. Press Ctrl+O, or go to File, then Open. The Recent list shows files you used lately. Click Browse to find a file in a folder. You can also double click the file in File Explorer.
When your work is done, close the document. Press Ctrl+W, or go to File, then Close. If there are unsaved changes, Word asks you to Save, Don't Save or Cancel. Choose Save unless you really want to throw away the changes.
Pause and predict. You open Admission Form, change a phone number, and press Save As with the name Admission Form New. Which file has the new number? Only Admission Form New has it. The old Admission Form stays the same as before.
Word has two safety features. AutoSave saves every few seconds, but it works only for files stored in OneDrive or SharePoint, which are Microsoft's online storage. AutoRecover saves a backup copy every few minutes on your computer. After a power cut, Word offers the recovered file when you open it again. Still, press Ctrl+S often.
Good files need good folders. A folder is a container that holds related files, like a file cover in an office cupboard. Make one folder for each kind of work, like Fees, Admissions and Letters. In the Save As box, click New folder to create one. Keep names with dates so the newest file is easy to spot.
You can keep many documents open at once. Each one opens in its own window. On the View tab, Switch Windows lists all open documents. Arrange All shows them one above another. View Side by Side helps you compare two documents line by line.
Before printing, always check the page. Press Ctrl+P, or go to File, then Print. The right side shows a preview of how each page will print. On the left, choose the printer, the number of copies and which pages to print.
Let us revise. Ctrl+N creates a new document, and Ctrl+O opens a saved one. Ctrl+S saves the same file, while F12 Save As makes a new copy. Doc x is the Word format, and P D F is best for sharing. Ctrl+W closes, and Word asks before losing changes. Keep files in clear folders with clear names. Practise by saving one letter as doc x and as P D F.
