Hello students, welcome to Kwickprep. Your school must send a result letter to five hundred parents. Will a clerk type five hundred letters by hand? No. Today we will learn mail merge, which makes all of them in one go.
Mail merge is a feature of a word processor, like LibreOffice Writer. It combines one common letter with a list of names and other details. It then creates a separate, personal copy for every person in the list. So it saves hours of typing and avoids spelling mistakes in names.
Every mail merge has three parts. The main document holds the text that is the same for everyone, like the letter. The data source is a table of details that change, like names, roll numbers and marks. The merged document is the final result, with one copy for each row of the data source.
A data source is usually a table, often made in a spreadsheet like LibreOffice Calc. The first row holds the headings, called field names. Here the fields are Name, Roll No and Marks. Each row after that is one record, which means the details of one person. So Riya Shah is one record, Aman Patel is another, and Neha Desai is a third.
Now look at the main document. The words in angle brackets are merge fields. A merge field is a placeholder, like a blank space in a form. The words around them are typed only once. During the merge, each field is filled with the value from the data source.
Pause and predict before the answer. Our data source has three records. How many letters will the merge create? Three letters, one for each record. And the second letter will say, Dear Aman Patel, with roll number thirteen and seventy four marks.
Here are the steps of mail merge in order. First, create the data source and save it, for example as a Calc spreadsheet. Second, type the main document with the common text. Third, insert the merge fields at the right places. Fourth, preview the letters to check the names and numbers. Fifth, complete the merge, and print, save or email the copies.
LibreOffice Writer has a helper called the Mail Merge Wizard. A wizard is a guide that takes you step by step. Open the Tools menu and choose Mail Merge Wizard. Choose the current document, which is your letter. Then select the address list, which is simply the data source. Insert the fields and use the arrows to preview each record. Finally, save the merged document, print it, or send it as email.
You can also insert fields without the wizard. First, the spreadsheet must be registered, which means Writer knows where the file is. Press Ctrl+Shift+F4 to open the data source view. Then drag a column heading, like Name, and drop it into the letter where the name should appear.
Mail merge is used in many places. Schools send result letters to every parent. Families print wedding invitations for a long guest list. Offices print addresses on envelopes and labels. Schools also print certificates with each winner's name.
Watch out for three common mistakes. If a heading in the data source is changed, the field in the letter cannot find its value. Blank rows in the data source can create empty letters. And if you skip the preview, you may print five hundred wrong letters.
