Hello students, welcome to Kwickprep. How does an office type one letter and send it to five hundred customers, each with their own name? That is digital documentation. Today we will learn word processing, formatting, tables, pictures and mail merge.

Let us begin with the meaning. Digital documentation means creating documents on a computer instead of on paper. We make letters, reports, school notices and resumes this way. A digital document is easy to edit, save, print and share. The software used for this is called a word processor.

Here are three common word processors. LibreOffice Writer is free and open source, and it saves files as .odt by default. Microsoft Word saves files as .docx. Google Docs runs in a web browser and saves work online in the cloud. All three can open and save each other's common formats.

When you open a word processor, you see some common parts. The title bar at the top shows the file name. The menu bar in Writer, or the ribbon in Word, holds all the commands. The ruler shows the margins and indents. The status bar at the bottom shows the page number and word count.

These editing shortcuts work in most word processors. Ctrl+S saves the file. Ctrl+C copies and Ctrl+V pastes, which duplicates the text. Ctrl+X cuts text so you can move it somewhere else. Ctrl+Z undoes the last step, and Ctrl+Y redoes it. Find and Replace, often Ctrl+H, changes a word everywhere at once.

Formatting changes how text looks, and first we select the text. Bold, Ctrl+B, makes text dark and thick, good for headings. Italic, Ctrl+I, slants the text, used for book names. Underline, Ctrl+U, draws a line under key words. You can also choose the font and its size, like Arial at twelve points. Font colour can make a warning red.

Paragraph formatting changes a whole paragraph. Alignment places text on the left, in the centre, on the right, or justified, which means straight on both sides. Line spacing sets the gap between lines, like single or double. An indent is extra space from the margin, often at the start of a paragraph. Bullets and numbering turn lines into neat lists.

Page setup decides how each page is laid out. Margins are the blank spaces around the edges of the page. Orientation is portrait, which is tall, or landscape, which is wide. Paper size is usually A4 in Indian offices and schools. Headers and footers repeat text on top and bottom of every page, like page numbers.

Documents often need tables and pictures. To insert a table, choose the number of rows and columns. Each box in a table is called a cell. You can merge cells, which joins two or more boxes into one, like a heading across columns. You can insert pictures and shapes, and set text wrapping so text flows neatly around them.

Two time savers now. A style is a saved set of formatting, with a name. Heading 1 and Heading 2 styles keep all headings the same across the document. When headings use styles, the software can build a table of contents automatically. A template is a ready-made design, like a resume or a letter, that you simply fill in.

Now the hook from the start, mail merge. First, write the main letter, which stays the same for everyone. Next, prepare a data source, such as a spreadsheet of names and addresses. Then insert merge fields, which are placeholders like Name, into the letter. Preview the letters to check each name. Finally, merge them to print or save all letters at once.

Pause and predict. The main letter is one page long. The data source has five hundred customer rows. How many letters does mail merge produce? It makes five hundred letters, one for each row, each with that customer's own name.

Before sharing a document, check it carefully. The spelling and grammar check marks mistakes with wavy lines. Track Changes shows every edit, so a teacher or manager can accept or reject it. Comments add notes in the margin without changing the text. Saving as PDF keeps the layout the same on every device.
